Major Public Event

This Event is a big fixture on the Wellington Community Events Calendar, and as such attracts wide participation across the community. A Festival runs alongside it, involving a mix of community and sponsored activities. In 2011 the Event was looking to expand into a larger, more complex undertaking. As a result, many completely new ways of approaching the organisation of the Event had to be introduced into the existing structure, covering its planning, management, promotion and logistics of running a fast-growing, intensive Event.

A complete Analysis and Review of the past experiences of Staff, Sponsors and also Community involvement and participation was undertaken, and new ways of carrying it out were subsequently proposed, developed and implemented to allow for future growth
on a sound footing for Sport Wellington.

Work undertaken for Sport Wellington on this Event was carried out on Contract following a successful period working for the Rugby World Cup (Head Office, Wellington). That particular Major Event was held in Aotearoa, NZ in 2011.

In addition, seperate Event planning, management and implementation work was also undertaken for Sport Wellington on another Festival-related Event (Ki o Rahi Poneke Festival) as part of the official REAL New Zealand Festival which ran alongside Rugby World Cup 2011.

Analyse and improve Event Management Systems and Process
INCLUDING: Overall Event Operational Structure, Staffing structure (Team Hierarchy structures, Relationships Management), Communications Structure (alongside external Providers incl. Police, Medical, Support Staff, Volunteers), Operations Manuals and related (documentation creation and procedures standardisation).

Analyse and improve Event Logistical Systems and Process
INCLUDING: Work Breakdown Structures, Operations Runsheets, Traffic and Transport Management Protocols, Staff Management Protocols, Risk Management Protocols.

Implement Change Management Process for Senior Management Team / Staff
INCLUDING: ITS-related implementation, Training on all new procedures.

Direct Management of On-Site Operations and Staff / Teams as required.

Successful implementation occurred across all deliverables and the Event was able to grow both in size and scope effectively thereafter, with improved processes to build upon going forward. The Event also placed first in National-level Awards held by the Recreation Association of NZ.
